Volunteer Job Descriptions
Running a swim meet takes a team effort. In addition to the many roles performed during meets, there are also important behind-the-scenes responsibilities that keep everything running smoothly.
All volunteers receive training, so don’t feel intimidated. If you’re interested in a role that requires experience, contact the Volunteer Coordinator to ask about shadowing an experienced volunteer.
Positions are filled as commitments are received, so please reach out as soon as possible if you’re interested. It takes a lot of work to run a meet. Not only are there lots of jobs done at the meet, but there are numerous jobs done behind the scenes.
Seasonal Jobs
Age Group Parents (No Experience Required)
- Supervise swimmers by assigned age group
- Mark swimmers before each meet
- Chaperone designated waiting areas
- Escort swimmers to the Ready Bench and monitor them
Announcer (No Experience Required)
- Uses the PA system to call swimmers by event and heat
- Announces swimmer names and meet updates
- Provides a music playlist for meets
- Should be able to set up mixing board, very basic
- A board member will provide a layout of meet day expectations, announcer notes and instructions Job is only done at home meets
Del Norte Club Certificate Sales (No Experience Required)
- Sells one-month club memberships (mid-May through July)
- Coordinates payments and certificate distribution
- Proceeds directly benefit the team
Time Drops System Operator (Training Required)
- Operates timing system to record race results
- Ensures accuracy of swimmer times
- Job is only done at home meets
Computer System Operator (Training Required)
- Maintains swimmer database using Meet Manager software
- Verifies and records meet results
- Works as part of a two-person team
- Very basic computer skills needed
- Job is only done at home meets
Computer Assistant (Basic Computer Skills Required)
- Assists with meet operations
- Learns meet management tasks
- Job is only done at home meets
Head Timer (Experience Required)
- Trains timers
- Ensures all timing positions are filled
- Troubleshoots timing issues
- Job is only done at home meets
Snack Bar Coordinator (Experience Helpful)
- Manages snack bar operations and volunteer hospitality
- Oversees shopping, food prep, sales, and cleanup
- Handles setup and equipment storage
- Job is only done at home meets
Meet Sign-In (No Experience Required)
- Collects and manages sign-in sheets
- Reports attendance to the Head Coach
Meet Director & Referee (Experience & Training Required)
- Oversees all poolside (“wet side”) operations
- Ensures meets start on time and run smoothly
- Makes final decisions, disputes and DQ’s
- Job is only done at home meets
Meet Set-Up & Take-Down (No Experience Required)
- Sets up equipment before meets
- Breaks down and stores equipment afterwards
Pancake/ Sausage Griller (No Experience Required)
- Prepares pancakes for swimmers
- Needs to be at the grill at 6:30am
- Job is only done at home meets
Photographer (Experience Required)
- Takes photos at meets and events
- Creates end-of-season slideshow
- Shares photos with families
Ready Bench Coordinator (Experience Required)
- Oversees Ready Bench volunteers
- Ensures duties are understood and fulfilled
- Job is only done at home meets
Ribbon Writer (Experience Helpful)
- Manages ribbon supplies and process
- Puts stickers on ribbons, labels are printed at the computer table and handed to the ribbon writers for application of sticker
- Oversees ribbon writing at meets
- Collects awards at Championships
Social Events Coordinator (Organizational Skills Required)
- Plans and manages team social events
- Board member will provide Social Events Coordinator Overview document of past social events with details
Spirit Tent Coordinator (No Experience Required)
- Sets up themed team area
- Manages decorations and monitors space
Spirit Wear Sales (No Experience Required)
- Takes orders and distributes team apparel
- Operates heat press for custom items
Starter (Training Required)
- Coordinates race starts
- Ensures fair and consistent starts
Shift Jobs
Floater (No Experience Required)
- Fills in where needed during meets
- Needs to be able to work any shift job that is available that day
Hospitality (No Experience Required)
- Prepares and serves snacks and drinks for volunteers
Runners (No Experience Required)
- Collect paperwork from officials
- Deliver materials to the computer team
- Will communicate with the computer table at the start of their shift and ask for any specific instructions
Parking Lot Attendant (No Experience Required)
- Directs traffic and parking
- This job is only worth ½ of a shift job
- Must arrive at 6:30am to monitor parking lot
Ready Bench (No Experience Required)
- Organizes swimmers by event, heat, and lane
Snack Bar Staff (No Experience Required)
- Prepares and sells food and beverages
- Assists with setup and cleanup
- Works one of two shifts
- This is the only job that has a specific timeline
- First shift 6:30AM - 10:30AM
- Second shift 10:30AM - 2:00PM
Stroke & Turn Judge (Training Required)
- Observes swimmers for rule compliance
- Reports any violations
Timer (No Experience Required)
- Times swimmers using stopwatch or timing system
- Three timers per lane
- One timer also serves as Lane Writer
- Training provided
